Welcome to Sing It Out Loud, a vocal performance competition that celebrates singers and provides opportunities to perform, receive feedback and develop their skills.

These terms apply to competition entries, participation, spectator attendance and related services.

Read them before booking, together with the syllabus and any specific Title or Finals rules.

1. Agreement and Entry Responsibility

By submitting an entry or purchasing a ticket after being given access to these terms, you agree to the terms relevant to that entry or purchase. The person submitting an entry must be at least 18 and provide accurate information. A performer under 18 must be entered by a parent or legal guardian, or by a teacher or other adult authorised by their parent or guardian. The submitting adult must ensure the performer and their parent or guardian understand the applicable rules.

Check performer details, age, division, sections and payment before submitting. Keep your entry and payment confirmations. Check junk mail and contact administration promptly if confirmation is missing or incorrect.

2. Syllabus and Event Rules

Read these terms with the syllabus and any Title or Finals rules supplied before entry. Those rules set the specific eligibility and performance requirements for each section. Contact administration before entering if information appears inconsistent.

Event notices provide practical arrangements, deadlines and venue requirements. They do not remove consumer rights or permit unrestricted changes to an existing booking.

Updated terms will apply to future bookings. Any change affecting an existing booking must be communicated and handled consistently with applicable law and clause 24.

3. Eligibility and Age Divisions

Performers must meet the age, experience and eligibility requirements in the published syllabus.

Unless a section expressly permits otherwise, entries are for amateur performers.

Unless otherwise stated, Sing It Out Loud is for amateur performers only.

People whose main income is earned as a singer and/or teacher are not eligible.

Use the age reference date published for the event.

Duos, trios and groups enter the age division of their oldest performer.

Proof of age or eligibility may be requested where reasonably necessary.

Enter the correct Novice, Restricted, Open or Elite division and follow the syllabus progression rules.

Where the Finals rules require it, anyone qualifying in Open or Elite must enter Elite at Finals.

Incorrect details may require correction or affect eligibility. Deliberately false information may result in disqualification. 

By entering Sing It Out Loud, you agree to abide by all rules and regulations outlined in the Syllabus.

4. Entries and Confirmation

Enter through the nominated online form and pay using the available payment methods. Unpaid entries will not be programmed. Acceptance is subject to eligibility, capacity and confirmation by administration; submission alone does not guarantee acceptance.

Entries close on the published closing date or when capacity is reached, whichever occurs first. No waitlist is offered unless advertised.

Sing It Out Loud may decline an entry for a reasonable eligibility, capacity or safety reason. Payments for an entry that cannot be accepted will be refunded.

5. Fees and Promotions

Entry fees, Title fees, spectator admission and additional charges will be displayed for the relevant event before payment. Prices are in Australian dollars.

Each routine, Title and Finals entry must be paid for separately unless an advertised offer states otherwise. Regional entry does not automatically include Finals entry, audience tickets, photographs, videos or optional services. Official media purchases are optional unless a package is clearly disclosed and agreed before booking. Promotions are subject to their advertised eligibility, registration method and deadline.
A free-entry offer does not automatically register a performer.
 

6. Sections and Song Selection

Songs must meet the requirements of the section entered. Incorrect genre selection may result in disqualification under the published rules. Lyrics, costumes and performance content must be suitable for the performer's age and a family audience.

Follow the syllabus limits on entries in each style or section. Do not repeat the same routine in another section or age group unless the applicable rules expressly allow it. Where a second song in the same style is permitted in Your Own Choice, it must be a different song.

Unless a section states otherwise, duos have two performers, trios have three, small groups have four to eleven and large groups have twelve or more.

7.Titles and Finals

Title entrants must meet the published age, minimum routine-number and eligible-genre requirements. Add-on Titles judged within regular sections do not require an additional performance.

Separately performed Titles must meet their specific song requirements, including any requirement for a new song. Performers must introduce themselves and their song and use a microphone.
Entertainment Title performances must be in costume.

Qualification does not automatically register a performer for Finals.
Follow the published qualification, entry and participation-confirmation requirements.
Where same-day registration at the front desk is required, failure to register on the qualification day forfeits the invitation. Finals may use different judging formats, including ranking only. The format and performance requirements will be stated in the applicable Finals rules.

8. Programs and Corrections

A draft program will be provided before the event. Check all entries and request corrections by email within the notified deadline. Changes cannot be guaranteed after the program is finalised or music uploads close.

Performance times are approximate. Withdrawals and operational needs may affect the running order. Check the final program and event notices, and allow sufficient time for arrival and preparation.

Sing It Out Loud may reasonably combine or divide sections to accommodate entry numbers. A change must not make a performer ineligible without an appropriate arrangement. Cancelled sections are dealt with under clause 24.

9. Arrival and Performance Order

Check in at the front desk on arrival and be ready for the start of your allocated session. For afternoon and evening sessions, arrive at least one hour before your scheduled performance unless the event notice directs otherwise. Perform in program order and follow backstage announcements.
Requests to change order, hold a performance or withdraw must go through the Backstage Manager. Approval depends on the program and operational needs. A performer who misses their allocated appearance may be unable to perform or be eligible for an award. Tell staff promptly if an issue arises.

10. Music Uploads

Music Uploads at www.musicuploads.com.au is the only approved method for submitting backing tracks. Upload every required track by the exact deadline stated for the event. USBs, phones, email and AirDrop are not accepted alternatives. Check the song, version, act number, sound quality and duration after uploading. Routines without required music uploaded by the deadline will be removed from the program. No discretionary refund, credit or transfer is offered for a missed deadline. Please read full details in SYLLABUS! Late uploads are not guaranteed. Any reopening fee must be disclosed before a late upload is accepted. Music Uploads may charge separate service fees; check those charges with the provider. 
Teachers, if you choose to upload the music instead of parents or guardians, Music Uploads may charge you an extra fee.

11. Backing Tracks and Accompaniment

The performer's vocals must be live. Backing vocals must not overpower the live singer. Duo, trio and group tracks must not contain lead vocals. Ensembles should demonstrate harmony and vocal blend.

For Song and Dance, recorded vocals may be used only during dance-only passages where no live singing occurs, as permitted by the syllabus. Live accompaniment is permitted only in eligible sections. Arrange equipment and practical requirements with administration in advance. Published deductions or disqualification rules apply to breaches of music requirements.

12. Time Limits and Prompting

Follow the performance time limit, any grace period and the prop setup and removal allowance published for the section or event. Separate Title and Finals limits may apply.

Over-time deductions and music fade-out procedures are those stated in the applicable rules. Prompting or assistance during a performance is prohibited unless the published rules expressly permit it for that age group or section. Follow reasonable staff directions.

13. Costumes Microphones and Props

Costumes must be safe and meet section requirements. Cordless handheld microphones are available. Advise administration in advance of particular equipment needs; specific microphone types cannot be guaranteed. Props must be minimal, safe, free-standing, labelled and assembled off stage.

Carry props onto and off the stage; do not drag them. Arrange approved assistance and remove props and debris within the published allowance. Powder, glitter, confetti, water and mirrors are prohibited. Staff may refuse unsafe props. Collect belongings at the end of the event and contact administration promptly about anything left behind.

14. Judging and Conflicts of Interest

Adjudication includes vocal technique, pitch, tone, rhythm, diction, interpretation, stage presence and connection with the audience. Song suitability, microphone handling and section-specific requirements may also be assessed. Disclose personal or professional relationships with an adjudicator, including family relationships or lessons within the preceding 12 months. Under the syllabus, affected performers receive critique only and are not eligible for placings. Artistic assessments and placings are final, subject to correction of verified administrative or rule-application errors. Do not approach an adjudicator to dispute a result. Concerns must be raised with administration under clause 26. An adjudicator may be replaced when necessary. Entry does not guarantee a placing, qualification, prize or professional opportunity.

15. Critiques Scores and Awards

Voice critiques will be available through Music Uploads within three business days unless the event rules specify otherwise. Scores may be requested at the front desk after awards when staff are available.

Ranking-only rounds do not produce numerical scores or critiques unless expressly stated. Awards and qualification announcements follow the published event rules. If you cannot attend awards, arrange collection by another person. Awards are not posted and absent recipients are not individually notified unless an event notice states otherwise. Same-day registration requirements still apply.

16. Spectator Admission and Venue Access

Spectator admission is separate from performance entry. Check the event notice for prices, concessions, session access and ticket arrangements. Wear admission wristbands where issued.

Teacher passes are subject to the published allowance, sign-in requirements and capacity. Teachers must present any required Working With Children Check. Club sign-in, identification, age-access and responsible-service rules apply where relevant. Sing It Out Loud or the venue may refuse entry or require someone to leave for a reasonable safety or conduct concern, including intoxication, abuse or serious disruption.

17. Child Supervision Backstage and Changing Areas

Parents and guardians remain responsible for supervising their children. Backstage staff support performances and do not provide general childcare. Children under 13 should be accompanied to the restroom by a responsible adult. Backstage access is limited to performers and authorised personnel. Assistance for younger performers is permitted only under the event's access rules. Adults requiring backstage or changing-area access must comply with applicable Working With Children Check or Working With Vulnerable People requirements and the published access policy.

Use designated changing areas, respect privacy and belongings, and leave promptly once assistance is complete. Keep shared areas tidy. Photography and recording are prohibited in changing areas. No hot drinks are permitted there. The organiser or venue may photograph room conditions only when the area is empty. Report safeguarding concerns to staff immediately. Keep aisles and exits clear and follow emergency directions.

18 Conduct and Theatre Etiquette

Treat performers, families, teachers, adjudicators, staff and volunteers respectfully. Bullying, harassment, discrimination, threats, intimidation, abuse and disruptive conduct are unacceptable. Recruiting students from other studios at the event is prohibited. Remain quiet and seated during songs. Wait until a performance ends before entering, leaving or moving through the auditorium or from changing areas. Follow reasonable staff and venue directions. Consequences may include a warning, removal, disqualification or withholding an award, depending on the seriousness of the breach, the circumstances and who was responsible. Misconduct by a supporter does not automatically justify penalising an uninvolved performer. Serious safety concerns may require immediate action.Removal for misconduct does not ordinarily entitle the person removed to a discretionary refund, subject to clause 27.

19. Photography and Recording

Private photography, filming and audio recording of competition routines are prohibited. Unauthorised recording may result in removal and, where the responsible person's conduct warrants it under the published rules, disqualification. Staff may request deletion of an unauthorised recording.

Photography and filming are permitted during awards where the venue and staff allow it. Respect the privacy of others. Five Star Media is the official photography and videography provider. Arrange optional purchases through the advertised process before the performance. Purchases are subject to the provider's disclosed terms and consumer law.

20. Official Recording and Promotional Permission

Official photography and recording occur during performances and awards. Any live streaming will be separately notified before the event. Contact administration before entry or attendance if there is a safeguarding concern or a request to avoid identifiable recording, so available arrangements can be discussed. Permission to use identifiable performer names, images, voices or performance footage for promotion is requested through the entry form. For a minor, permission must come from a parent or legal guardian. Promotional use must stay within the permission recorded on the form.

Where that permission is given, Sing It Out Loud and Five Star Media may use the agreed material on their websites, social media and printed promotional material for up to two years from the event, without payment. Television, unrelated commercial use or uses outside that permission require separate consent.

21. Intellectual Property and Privacy

Participants retain any intellectual property rights they hold in original songs and creative works.

Entry does not transfer ownership of those rights to Sing It Out Loud. Permission to record, supply or promote a performance is limited to the disclosed and agreed purposes. It does not transfer copyright in a third party's song or backing track. Entrants must use music and other material lawfully.

Competition branding, logos and original written or digital materials belong to their respective rights holders. Do not copy or use them without permission except as permitted by law.

Personal information is collected to process entries and payments, communicate event details, verify eligibility, manage performances and provide results or purchased services. Relevant information may be shared with adjudicators, authorised staff and service providers only as reasonably required for those purposes. Performer names and sections may appear in the program; raise any safety concern before entry. Information will be handled under applicable privacy law and the published Privacy Policy.

Contact administration about access, correction or privacy concerns.

Marketing messages will be sent with appropriate consent or another lawful basis, and recipients may unsubscribe. Essential event communications may still be sent. Third-party entry, payment, upload and media services may have their own disclosed terms and privacy policies.

22. Withdrawal Non Attendance and Entry Errors

Subject to clause 27, entry fees are non-refundable for change of mind, withdrawal or non-attendance.

This includes illness, COVID-19 or isolation, scheduling conflicts and personal commitments.

Exceptional transfers may be considered under clause 23.

Transfers are not available for lack of preparation, choosing not to perform, failure to attend, change of mind, disagreement with rules, incorrect section selection or misunderstanding the syllabus.

Clashes with competitions, rehearsals or social events do not qualify.

Changing studios does not itself create a refund or transfer entitlement, regardless of who paid.

Contact administration promptly about a genuine duplicate entry or administrative error.

A correction or transfer may be considered.

No discretionary refund is offered for an accidental duplicate entry.

These policies remain subject to clause 27.

23. Exceptional Transfers Fees and Deadlines

Transfers to another Sing It Out Loud event may be considered for documented exceptional circumstances, including injury or illness supported by a medical certificate; surgery or a broken bone; a death in the family; or a significant change to care arrangements between parents or guardians, with documented proof. 

Approval is not automatic. Management assesses each request and its supporting documentation.

Requests must be submitted more than 40 days before the original competition begins.

Neither the original event's nor the destination event's draft program may have been released.

Both restrictions apply; meeting the 40-day deadline does not allow a transfer once either draft program has been released. The destination event must have capacity, and the transferred entry must meet its syllabus and entry requirements.

Transfer Fee: Transferring Titles and solos, you must pay for ONE Title entry, into the event, you are transferring too. If you are transferring solo routines only, you must pay for ONE solo entry into the event, you are transferring too.

24. Event Changes and Cancellations

Venue availability, government directions, public health restrictions, severe weather, other circumstances, or An Act Of God beyond the organiser's control may require a change of date or venue, or cancellation of an event or section. Affected entrants will be notified as soon as reasonably practicable.
Registrations ordinarily remain valid for a rescheduled event, subject to applicable rights and remedies.

Refunds, transfers, credits or other remedies arising from cancellation or a material change will be determined according to the circumstances and applicable law. The reason for the change and its effect on the booked service will be considered. Operational costs do not remove statutory rights.

Contact administration if a notified change affects your ability to attend. This clause also applies where an individual booked section is cancelled.

25. Health Safety Belongings and Responsibility

Perform within your capabilities and advise staff beforehand about access or assistance needs.
Do not attend when applicable public health requirements require you to stay home. Follow venue health and safety directions.Take reasonable care of yourself, others and personal belongings. Sing It Out Loud does not provide a belongings storage service. Report hazards, incidents, suspicious behaviour and pre-existing venue damage promptly. A person responsible for damage may be required to pay reasonable, substantiated repair costs to the extent permitted by law. Responsibility for injury, illness, loss or damage will be determined under applicable law. These terms do not require attendees to indemnify Sing It Out Loud for the organiser's own negligence or exclude liability that cannot lawfully be excluded.

26. Complaints and Concerns

Raise eligibility, rule-compliance or administrative concerns privately with Jenny Jones as soon as possible, preferably before the relevant age group's adjudication finishes. If Jenny is unavailable, ask front desk staff to direct your concern to Chrissy or Cherie.Give your name, the performer's name, section and details of the concern. Anonymous messages will not be accepted as formal competition protests; safety concerns may still be reported to staff. Do not disrupt performances, confront adjudicators or involve other families in personal disputes. Sing It Out Loud does not resolve personal, financial or entry disputes between families and studios.Administration will consider genuine concerns and communicate the outcome. Disagreement with an adjudicator's artistic assessment alone does not require a result to be changed. Nothing in these terms prevents a lawful complaint, an honest review or the exercise of legal rights.

27. Consumer Rights

Nothing in these Terms and Conditions excludes, restricts or modifies any right, guarantee or remedy that cannot lawfully be excluded under Australian Consumer Law or other applicable legislation.

All refund, transfer, cancellation, complaint and liability provisions operate subject to those rights.

28. Entry Acknowledgement

By completing registration, the submitting adult confirms that they have read and understood these Terms and Conditions, the applicable syllabus and the requirements of the sections entered; checked the entry details; and have authority to register the performer.

Performers and accompanying adults must comply with the applicable competition rules and reasonable venue and staff directions.
